How to Receive Calls in Your HubSpot Platform Browser

You can now take inbound calls in your HubSpot browser. You won't need to forward the call to a mobile device to quickly access records and write notes from your desktop. When an inbound call is answered, it is saved to the Call Index Page for easy access so that you can take real-time notes and review the call after it ends.

Setting Up Inbound Calling

Users with paid seats in either the Sales Hub or the Service Hub can set up a phone number in HubSpot to make and receive calls and register an outbound phone number to make outgoing calls. You can also integrate with a calling service from a third party.

Configure a HubSpot-provided Number

Go to the settings option from the opened page, and click the Calling tab.

From the Calling settings tab, click the dropdown menu under Device ringing to select whether you want inbound calls to Ring in the HubSpot browser or Forward to the phone number. To answer calls on your desktop and use CRM record highlights from the inbound call tab, choose - Ring in the HubSpot platform.

After you set up your HubSpot provided number, click the Inbound Calling symbol on the upper right route bar. A pop-up window will open with a link to the Call tab page.

Click the Open Call tab. You can receive inbound calls in your HubSpot browser by opening the Call tab page. You need to keep the Call tab page open to receive calls that come in.

Receiving and Managing Inbound Calls

Incoming calls to your inbound phone number will appear in a Call Remote dialog box next to the calling Inbound Calling icon on the top right navigation bar and the Call tab page. You can answer the call in either place.

To take incoming calls: Click Accept to answer the call on the Call tab page or the Call Remote dialog box. A red circle on the Call tab page or a green flashing circle next to the calling Inbound call icon will indicate the call is connected. When you click on the Call tab page, a green banner with "Active call" will appear.

To get to the call record to take notes during the call: From the dialog box for Call Remote, Locate the Call Remote dialog box in the upper right corner of the screen. Select Call Info.

On the page of the Call tab: On your browser, go to the HubSpot account tab. Go to Calls, then to Contacts in your HubSpot account.

When viewed from the Calls screen, the inbound call record will be at the top of the call index. To access the call record, click the title.

You can associate the call with other CRM records and take notes during the call from the call record. In case you have a Business Center point or Administration Center point Proficient or Undertaking paid seat, you can get to records from your inbound call:

Note-taking: Click Edit note from the call record screen. In the text box, make notes. Select "Save."

To link the call to records in CRM: Click objectAssociations Associations in the call record screen's right-hand sidebar. To associate a brand-new or existing record with the inbound call, click + Add next to Contacts, Companies, Deals, or Tickets. Click Save.

Review the transcripts and write comments after the call is over to access call transcripts and comments (Sales Hub or Service Hub Professional or Enterprise only).

What To Do in Case of Missed Calls

If you cannot answer an inbound call, the user will hear the following message: I'm grieved. The individual you contacted is unavailable. Kindly try once more shortly. You will be informed that the call has been recorded. If Allowed Call Recording is enabled, your inbound guests can leave phone messages.
